Formalities Required for Participation

When studying abroad or participating in an overseas program, various procedures must be completed with the host university, and your affiliated College, Faculty, or Graduate School at the University of Tokyo before departure. For programs managed by the Center for Global Education, such as university-wide exchange programs, UC dispatch programs, and other short-term programs that require internal selection and are processed by the International Education Promotion Group, additional procedures with the International Education Promotion Group are necessary.

It is your responsibility to thoroughly check and complete all the necessary procedures in advance. For procedures at the host university, travel arrangements, and obtaining visas, follow the instructions of the host university. Also, make sure to obtain the latest information from the embassy of the host country or region and carry out these procedures at your own responsibility. All incurred costs will be borne by the individual. If you are unable to participate due to incomplete procedures, scholarships will not be provided.

Procedures in the College, Faculty, or Graduate School of your Affiliation

Please check with the relevant office of your affiliated College, Faculty, or Graduate School and complete the necessary procedures for studying abroad. (The required procedures and documents, such as the ¡°Application for Permission to Study Abroad¡±, ¡°Notification of Going Abroad¡±, or ¡°Notification of Leave of Absence¡± vary depending on your College, Faculty, or Graduate School.) Be aware that the handling of your student status during your time abroad will affect whether you need to pay tuition fees and whether you can transfer credits. For study abroad programs where you can earn credits, whether or not you will be able to transfer any credits earned at your host university will depend on the decisions within you affiliated College, Faculty, or Graduate School. Please check and consult with relevant offices in your affiliated College, Faculty, or Graduate School beforehand regarding the procedures concerning transfer of credits.

Inform your academic supervisor and other relevant parties in advance to ensure that your overseas travel for a certain period does not cause any inconvenience to them.

Contact during Your Travelling Overseas

If any problems arise, you have any concerns, or an emergency occurs while you are abroad, promptly report, contact, and consult with the contact person at the host university and the relevant office of your affiliated College, Faculty, or Graduate School at the University of Tokyo. For programs managed by the Center for Global Education, also report, contact, and consult with the International Education Promotion Group.

In the event of natural disasters, infectious diseases such as new strains of influenza, or terrorist activities occurring locally, promptly contact the relevant office of your affiliated College, Faculty, or Graduate School and the International Education Promotion Group to report your safety, even if you are not affected. If your life or physical safety is in danger, seek assistance from the local embassy or consulate.

Stay in regular contact with your family.

If you plan to be away from your place of residence for more than a week during your study abroad (including temporary returns to Japan), inform the relevant office of your affiliated College, Faculty, or Graduate School in advance about your destination and duration. For programs managed by the Center for Global Education, also inform the International Education Promotion Group.

Participants in programs managed by the Center for Global Education must resubmit the ¡°Notification of Going Abroad¡± to the International Education Promotion Group if there are any changes or updates to the information provided.

Once your return date is decided, if there are required notifications in your affiliated College, Faculty, or Graduate School, please contact the relevant office. For programs managed by the Center for Global Education, inform the International Education Promotion Group of your return date using the ¡°Notification of Going Abroad¡± form.

It is your responsibility to communicate with the relevant offices of your affiliated College, Faculty, or Graduate School so that you conduct all necessary procedures regarding transfer of credits and registering for classes.

If there are any changes to your address, phone number, or email address, complete the necessary procedures with your affiliated College, Faculty, or Graduate School and inform the International Education Promotion Group for programs managed by the Center for Global Education. This information is essential for contacting you after your return.

Please fully comprehend the purpose of the program and strive to achieve sufficient academic or research results.

Please be conscious that while you are overseas you will be travelling as students representing the University of Tokyo. Abide all laws, rules regulations and manners of the host institution and country as well as that of the University. Please ensure to follow the instructions of the supervisors or contacts of the host institution and take care not to offend or go against local public policy and morals.

The personal information, such as name and contact details, obtained by your affiliated College, Faculty, or Graduate School, and the International Education Promotion Group in relation to your participation in programs managed by the Center for Global Education, will be used not only for the operation of the program but also for requesting your cooperation in the International Education Promotion Group's activities. This may include promoting and explaining study abroad programs, advising students, conducting surveys, and other related tasks.
